Offers and needs

Write down both sides of the exchange in your own words.

Side A — what goods, service or skill are you offering? Include quantity, condition and useful details.

Scope and expectations

Be specific about what each person will provide and what is outside the exchange.

Exactly what is included in each offer, including quantities, condition, parts or key details?

For a service or skill, what tasks, time, materials or outcomes are included?

What limits, exclusions or open questions should both sides understand?

Value, effort and costs

Use these prompts only where comparing value or effort would help.

How will we compare value or effort, if useful? Is any balancing item or amount agreed?

Are there extra costs or materials? If so, who will provide or cover them?

Timing, handover and responsibilities

When will each part be ready, and what date or time window works for both sides?

Where and how will the exchange happen: collection, delivery, in person or digitally?

Who will arrange transport, access, preparation or any materials needed?

Will the exchange happen all at once or in stages? Note any dates to agree.

Changes, confirmation and next steps

Record a shared understanding and anything that still needs a decision.

If either side needs to change or cancel the plan, how and when will you let each other know?

If an offer differs from what was discussed, what will you do before going ahead?

What have we agreed, and what still needs an answer?
